VENDOR SPACES ARE ALL FULL
Join us for a Fall vendor event on Saturday, November 5, 2022. The show will start at 9am and end by 1pm. Event will take place outdoors in the parking lot so each vendor will have a space. The cost will be $50 per/space for vendors and $15 for student entrepreneurs. Need additional space? Just purchase 2 at checkout. You will need to provide your own table/tent/chairs if needed. We do have a few tables that we can rent out for $20 though are very limited with less than 10.
Who we are looking for: small business owners, crafters, direct sellers and kid owned companies. We will accept multiple crafters and jewelers however, will only accept one (1) of a particular direct sales vendor. ie: we will not have two (2) from the same company. We will reach out to you once you purchase ONLY if there are duplicate companies. You will hear from someone confirming your space within 4 business days.
Please note if the weather is extreme (ie: snow or constant downpour) we will move our event indoors.
Cancellation & Refund Policy:
Cancellations made prior to 30 (thirty) days of the show will receive a refund less $10 administrative fee. No refunds will be given after October 15, 2022. Vendor spaces will be accepted on a space available basis and sales of spaces will end on Saturday, Oct. 22nd.
By registering, Vendor understands and agrees that the T. Clay Wood PTO, in its discretion or as required by an order of the Governor of the Commonwealth of Virginia, may cancel, reschedule, or limit the size of the event. If that occurs and the PTO does not hold the event as scheduled or limits participation in a way that keeps Vendor from participating, the PTO may, in its discretion, refund the Vendor or grant the Vendor a credit in the full amount of the vendor fee actually paid to the PTO and usable only toward the vendor fee for a future TCWES PTO event to be held within 375 days of the scheduled date of November event. Vendor waives all other legal remedies if the PTO makes such a refund or grants such a credit.
EXHIBITOR LIABILITY/INSURANCE: Exhibitors are responsible for their own VA State Sales Tax. It is encouraged that vendors obtain their own insurance policy that offers a minimum of $1,000,000 in liability insurance coverage for all activities. A copy of the policy naming the certificate holder as the Office of Risk Management and Security Services, Prince William County Public Schools, P.O. Box 389, Manassas, Virginia 20108, and listing Prince William County Public Schools, T. Clay Wood and T. Clay Wood PTO as an additional insured by endorsement to the policy would be suggested. It is not mandatory. T. Clay Wood PTO shall not be liable for any loss or damage to machinery, equipment, merchandise, paraphernalia, costumes, clothing, booths, stands, exhibit materials, or any other property of the Vendor, or Vendor's agents, employees, patrons, or guests, caused by theft, riots, strikes, civil commotion, fire, acts of God, or any other cause of whatever kind of nature.
INDEMNIFICATION/RELEASE:
TCWES PTO will take reasonable precautions to safeguard Vendor’s property during event hours. However, are not to be liable for loss or damage to the property from theft, fire, accident, or any other cause. Vendor agrees to indemnify, protect, defend and hold harmless T. Clay Wood Elementary School, T. Clay Wood PTO, PWCS, its officers, directors, agents, representatives, or employees from and against any and all claims, damages, costs, liens, judgments, penalties, attorneys’ and consultants’ fees expenses and/or liabilities arising out of, involving, or in connection with, the occupancy of the assigned space by Vendor, the conduct of Vendor’s business, any act, omission or neglect of Vendor, its agents, contractors, employees or invitees, and out of any default or breach by Vendor in the performance in a timely manner of any obligation on Vendor’s part to be performed under this agreement. In addition, the Vendor expressly releases the T. Clay Wood PTO, its officers, directors, agents, representatives, or employees from all claims for loss, damage or injury arising from any cause whatsoever.
The T. Clay Wood PTO, T. Clay Wood Elementary School, PWCS, its officers, directors, agents, representatives, or employees make no representation and will not indemnify, protect, defend and hold harmless the Vendor, its officers, directors, and organizers, owners, and agents, representatives, employees, or invitees for any reason.
EXHIBITS: Exhibitors must supply their own table, tent and covers. We would like the tables to be covered to the floor. We do plan to keep tables at a distance from others. Exhibitors accept full responsibility for any loss, injury or damage to persons or property that may be sustained while on said premises. T. Clay Wood Elementary School and TCWES PTO assume no responsibility whatsoever for any property in the vendor area or premise.
PARKING: plenty of free parking will be available. Exhibitors will have designated parking areas and must move their vehicle to that area after unloading.
HEALTH PROTOCOLS: we follow all PWCS school health guidelines.
ADVERTISING: paid online advertising, signs will be purchased, email and press releases sent to local media, email to all within our school community (1K+), direct email to all members. In addition, flyers go to all area local businesses. Flyers or jpg image to be shared with all vendors.
